  What should I tell people if my goal is to cover the cost of website services?

Dear [sponsor's name],

I'd like to let you know about a new opportunity we have here at [our organization]. We are looking for four local sponsors to help cover the cost of our website. As you probably know, our website is a valuable tool for reaching out to the community and keeping our [friends, members, patrons] informed. In appreciation for a contribution of [$80], we will place a graphic linking to your website at the top of every page of our website for an entire year. Most people at [our organization] would prefer to do business with someone involved here rather than play roulette with the Yellow Pages, and a graphic on our website would be a simple, inexpensive, and effective way to let people know about [sponsor’s company].

You can probably think of a number of other folks involved at [our organization] who are business owners or independent agents and would be interested in getting advertising exposure on our website. Unfortunately, we only have room for four sponsors. We don’t want to play favorites, so we’re just going to accept the first four people who commit. Can I put you down for a sponsorship?

  How can I tailor the sample text for more specific fundraising?

This is an example for a youth missionary trip. You can change it to suit your needs.

Dear [sponsor’s name],

[Our organization] will be sending a group students to Costa Rica this summer. We believe God will use this trip to draw our students closer to Him and minister through our students to the people of Costa Rica. To cover the cost of the trip, we need to raise $4000, so we’ve come up with a creative fundraiser we thought might interest you. We are looking for four local businesses to sponsor our website. In appreciation for a [tax-deductible?] contribution of [$1000], we will place a graphic linking to your website at the top of every page of our website for an entire year. Most people at [our organization] would prefer to do business with someone else involved here rather than play roulette with the Yellow Pages, and a graphic on our website would be a simple, effective way to let people know about [sponsor’s company].

  Once a sponsor has made a commitment, what instructions should we give him or her to proceed?

(Note that the 117x60 graphic size assumes you will be displaying a quarter-banner sized graphic for the sponsor. If a half-banner or full-banner will be displayed instead, you will want to change that line accordingly.)

Thank you so much for your contribution to [our organization]. Your gift of [$200] will go a long way towards furthering God’s work through [our organization]. To show our appreciation, we would like to begin displaying on our website a graphic linking to your website as soon as possible. To do that, we need some help from you.

  • What is the address of your website? (If you don’t have a website, you can create one for free at http://www.ourchurch.com.)
  • Would you like to send us a 117 x 60 graphic or should we create one for you?
  • If you’d like for us to create a graphic for you, what would you like for it to say? (3 lines max, 12 letters/line max)
  • To enable you to view online statistical reporting, you need to register a username with our host OurChurch.Com. When you’ve had a chance to do that, please send us your username. Usernames are case-sensitive, so please be sure to send the username with upper and/or lowercase letters, exactly as set up with OurChurch.Com.

We will begin showing your graphic on our website at [ourwebsite.com] within a few days of your reply. Thanks again.
